What Documents Must Your Employee Carry to a UKVCAS Appointment?
Most of the process is now digital. However, appointments are still commonly delayed or unsuccessful due to missing or incorrect essential documents.

Can You Apply for a Biometric Card Online, or Must You Book via TLS Contact?
There is no biometric card to apply for anymore. BRP production stopped after 31 October 2024, and status is now issued as an eVisa linked to a UKVI account.
- Digital immigration status: Immigration status is no longer issued by post. Employees prove their status by generating a UKVI share code from their UKVI account.
- ID Check app: Eligible applicants can verify their identity using the UK Immigration: ID Check app instead of attending a UKVCAS service point.
- Who is eligible: This option is available to eligible EU, EEA and Swiss citizens, BNO applicants, and Graduate applicants whose BRP expired no more than 18 months ago.

- Appointment may not be needed: Some Skilled Worker applicants who have already enrolled biometrics are invited to reuse them and submit a photo online instead of attending.
- Upload to the portal: Current passport, proof of current immigration status, the sponsor letter, recent payslips and the employment contract.

Switching is the route most likely to skip the service point altogether. It is also the route with the largest portal upload, because eligibility for a new visa is being assessed from scratch.
- Check the app option first: Eligible applicants, including EU, EEA and Swiss citizens, verify their identity on the UK Immigration: ID Check app and never attend a service point.

Settlement carries the heaviest upload of any route. It is also the only route where a document your employee carries, rather than uploads, is a frequent cause of problems.
- Attendance is almost always required: ILR applicants are rarely eligible for the app route, so plan for an in-person appointment from the start.
- Upload to the portal: Absence records, payslips and bank statements covering the qualifying period, the sponsor letter, the Life in the UK Test pass notification, and English language evidence.
- Carry every previous passport: Originals covering the qualifying period must be presented so entry and exit stamps can be checked against the absence record.

Family cases change how the appointment itself runs, not just what gets uploaded. Everyone named on the application has to be in the room together.
- Everyone attends together: Where the application includes a partner or children, all applicants must attend the same appointment. Separate bookings are not accepted.
- Children under 16: Must attend with the responsible adult named on the application, who brings their own photo ID. A valid or expired passport, driving licence, national identity card, BRP or BRC is accepted.
- Upload to the portal: Relationship and cohabitation evidence, financial documents and accommodation evidence. Family cases generate the largest upload volume of any route.
- EU Settlement Scheme cases cannot scan: Documents must be uploaded when applying, because in-person scanning is not offered on this route.

It does. Naturalisation uses the same service points as visa applications, and the appointment is usually the most straightforward one your employee will attend.
- Attendance normally required: Most naturalisation applicants attend a service point in person to enrol biometrics.
- Lighter upload than ILR: Much of the evidence, including referee declarations, sits inside the application form itself rather than the portal.
- Carry status evidence: The current passport plus eVisa access or expired BRP details, so identity can be matched to the settled status record.
- Previous passports still matter: Absence history across the qualifying period is checked, so bring passports covering that period.
- Expect a second appointment: An employee who reached ILR twelve months ago will attend UKVCAS twice inside roughly a year. Plan the second slot into the calendar.

What Happens If Your Employee Travels Before a Decision?
Employees routinely assume the travel restriction starts at the appointment, or ends once biometrics are done. Neither is correct, and the misunderstanding is expensive.
- The rule: Leaving the Common Travel Area before a decision is issued may cause the application to be treated as withdrawn under paragraph 34K of the Immigration Rules.
- The impact: The application fee is not refunded, a fresh application is usually needed, and residence continuity for future settlement can be affected.
- Keeping the passport is not permission: Employees retain their passport after biometrics, which is exactly why the mistake happens.
- When the restriction starts: On the day the online application is submitted, not on the appointment date.
